Position
The Executive and Operations Assistant will play a crucial role in the PIE Network’s mission to “build, support, and promote” the network and its members. While the network has worked successfully for the past four years in support of its mission, it has only recently established independent operations, so a key part of this role is helping to establish an office and operational infrastructure—in other words, get us organized! This person will support the Executive Director and other team members as needed for travel and meeting coordination and have primary responsibility for all office-related and operational responsibilities including bill payment, the PIE Network’s webmaster, managing production of materials for network meetings, and coordinating the work of vendors in support of these needs. He or she may also be tasked with analytical projects as necessary. This job therefore requires an individual who is a great multi-tasker and who brings a “can-do” inventive attitude to their work. While we say our website is the network’s headquarters, our team will work from offices in the Twin Cities of Minnesota. Position has some travel opportunities a few times annually as needed to support network meetings.
Responsibilities
Executive and board support:
- Scheduling, coordinating travel, and other administrative support for the network’s Executive Director;
- Assisting the executive director in tracking expenditures, analyzing spending trends and producing budget reports.
- Assist the executive director in calendaring and preparing for board meetings. Prepare board packets and take minutes at board meetings (four annually).
Operations management:
- Oversee routine bill payment, including working with the network’s bookkeeper to ensure checks and payroll are processed;
- Maintain network contact lists and serve as point of contact for general inquires;
- Manage event print production, such as meeting materials, name tents and badges.
- Assist the team in managing the overall project calendar for team meetings; occasionally manage special projects, data gathering and analysis as assigned.
Website and technology support:
- Act as general webmaster, assist the communications team as needed for publication of network newsletters, and refreshing website content, and responding to general information requests.
- Work with IT vendors to support the network’s website and troubleshoot as needed for computers, phones, websites, and other technical needs.
- Research technology solutions to support the organization and the network.
Qualities and Qualifications
- Proven ability to manage multiple areas of responsibility, highly organized and able to create systems to manage office workload
- Self-starter able to work independently and communicate proactively about workload and
deadlines. - Sense of humor, exceptional work ethic, can-do attitude, and a reasonable tolerance for the ambiguities of a fast growing organization and a globetrotting Executive.
- Personality that thrives in a support organization; ability to anticipate needs of others and proactively support those needs. Professional, tactful, and discrete.
- Advanced computer skills including MS Word, Excel, and PowerPoint, and ideally, both PC and Apple familiarity. Data gathering and analytical skills are a big plus.
- Fearless technology explorer who loves researching the latest technology tools and software, and quickly learns how to apply them.
- Bachelor’s degree (or comparable work experience) preferred; at least three years experience with similar responsibilities desired.
- Non-profit experience preferred.
- Excellent written and verbal communication skills and quantitative abilities, detail-oriented.
- Definitely open to recent college graduates with strong experience managing large college-based projects and/or other volunteer experiences.
